FAQ for International Event Organisers

Everything you need to know about organising a conference or event in Norway and working with Tolkeboks.no / Digital Media Group.

Yes. For events above a certain size, one of our technicians visits the venue at no cost. We assess acoustics, ambient noise, power access, sightlines for interpreter booth placement, and suitability for IR or UHF distribution. You receive a written technical specification as part of the scoping process. For smaller events, we can often complete the assessment remotely based on venue floor plans and photos.

Yes. After scoping, we provide a fixed-price quote covering all agreed items: equipment, rigging, on-site technicians and de-rigging. The only scenario where costs change is if the agreed scope changes (additional language pairs, additional days, or late-added equipment). We flag any scope changes in writing before acting on them.

Yes on both counts. Our project team communicates fluently in English. Invoices can be issued in English on request — just mention it when you first contact us at prosjekt@dmg.no. Norwegian MVA (25%) will still apply and will be shown separately on the invoice.

Up to 16 simultaneous interpretation channels in one event. For rare language pairs where a direct interpreter is not available, we configure relay interpretation — where one interpreter works from a pivot language (usually English or French) and another interpreter retranslates to the target language. We handle the technical routing for relay as part of the standard setup.

IR (infrared) transmits the signal via light — it cannot pass through walls, making it highly confidential. Ideal for EU, UN or board meetings with high security requirements. Requires line of sight from emitter to receiver. UHF (radio) works through walls and over longer distances, suitable for complex venues, outdoor areas or multi-room setups. Both systems can distribute up to 16 language channels simultaneously. We recommend based on your venue and security requirements.

Yes. This is called Remote Simultaneous Interpretation (RSI). The interpreters receive a high-quality audio and video feed from the event and deliver their interpretation back in real time via platforms such as KUDO, Interprefy or Zoom RSI. We handle the complete technical setup at the Norway end — camera, audio routing, network — so the RSI platform can connect seamlessly to any interpreter anywhere in the world.

We are primarily an equipment and technical production company — we do not staff interpreters ourselves. However, we work with several certified Norwegian interpreter agencies and can refer you to the right partner for your language combination. Just mention it in your brief.

Norwegian MVA is 25% and applies to conference services (stedbunden tjeneste — services physically tied to Norwegian soil). It applies to your invoice regardless of where your company is registered. For events with more than 3 language pairs or complex AV production: at least 4–6 weeks in advance. For simpler setups (1–2 language pairs, known venue): 2–3 weeks is usually sufficient. For large international congresses (6+ languages, 500+ delegates): 2–3 months preferred to allow for venue survey, equipment availability and interpreter coordination. Contact us early — we always advise on what is feasible.

Yes.
